Position Description

A) Basic Function of the Position:

The Dispatch/Trucking Manager manages day-to-day operations and responsibilities of the Trucking department.

B) Line of Communication and Authority:

The Dispatch/Trucking Manager reports to the Aggregate Business Manager/Vice President. The Trucking Dispatcher reports to the Dispatch/Trucking Manager. Truck drivers report to the Vandalia/Xenia Dispatchers.

C) General Responsibilities of the Management Group:

As a member of the Phillips Companies management group, the Dispatch/Trucking Manager leads the following activities:

1. Participates in communicating and reviewing day-to-day operational priorities.

2. Demonstrate leadership to achieve company policies and goals

3. Meets as part of the management group.

4. Contributes to effective departmental and interdepartmental problem-solving for the smooth operation of the business

C) Skill Sets and Qualifications:

The Dispatch/Trucking Manager should possess and demonstrate the following skill sets and qualifications:

1. Minimum 5+ years of trucking dispatch, load planning, or fleet management experience (aggregate/hauling experience strongly preferred)

2. Proven leadership skills – able to lead, motivate, and hold a team of drivers accountable

3. Strong knowledge of DOT regulations and driver safety/compliance

4. Proficient with trucking software, Excel, and general office programs

5. Outstanding customer service and communication skills (phone, email, and in-person)

6. Ability to work early in the mornings, split shifts if needed, and remain on-call for urgent issues

D) Specific Responsibilities of the Particular Role:

The Dispatch/Trucking Manager is responsible for the following specific duties as part of his/her role in the Phillips Companies:

Financial Responsibilities

1. Meets monthly with the Aggregate Business Manager/Vice President to go over monthly income statement and review department operation plan.

2. Approves assigned invoices for rental equipment, safety equipment, and small tools/materials.

Scheduling

1. Schedules all drivers’ trucks for the daily workload

2. Assist customers and other departments with placing orders for delivery

3. Work closely with the Maintenance Manager to schedule maintenance and repairs to dump trucks

Maintenance

1. Work closely with the Maintenance Manager to prioritize repairs, schedule PMs, and minimize downtime

2. Track daily driver vehicle inspection reports (DVIR) and repair requests

Personnel

1. Responsible for planning driver meetings and safety training

2. Make sure all truck drivers have and use proper PPE

3. Responsible for resolving driver problems

4. Responsible for driver coaching, disciplinary action, 1-2-1 meetings, and conflict resolution.

5. Responsible for all personnel in the Truck Department’s performance reviews

Reports

1. Assisting in the end-of-day process, which involves closing out the credit card machine, cash drawer, and balancing the COD sheet.

2. Responsible for all driver measures reporting

3. Responsible for tracking and reporting all Trucking Department Goals

4. Responsible for updating and/or maintaining reports required by the Aggregates Business Manager/Vice President and/or the Accounting office.

Safety

1. Make sure all truck drivers have and use proper PPE

2. Responsible for completing weekly toolbox talks

3. Responsible for all site-specific documentation at the plants

Other

Must be able to pass a background check, physical, and drug test prior to employment.

The Dispatch/Trucking Manager is also responsible for duties as required and/or assigned by the Aggregates Business Manager/Vice President and/or other Company officers.
